n8n vs Zapier (2026): Hosted Simplicity or Self-Hosted Control?

Zapier is a hosted, no-code automation tool with a very large app directory, so you can connect your apps without touching a server or writing code. n8n is a fair-code workflow tool you can self-host or run in n8n's own cloud, and it's more technical, with code nodes and AI agent nodes. Pick Zapier if you want the quickest route to a working automation, and look at n8n if you want more control and don't mind a steeper learning curve.

Both do the same basic job. Something happens in one app, such as a form submission or a new order, and the tool carries out a chain of steps in other apps for you. The gap is in how much you're expected to understand about what's happening underneath.

I've written this for small business owners and the people who support them, so I'll keep the jargon low and say what each choice means in practice.

No-code vs low-code

Zapier is built so that someone with no technical background can set up an automation in an afternoon. You pick a trigger app, pick an action app, map the fields and switch it on. The wording is plain and the app directory is huge, which means the app you use is very likely to be on it already.

n8n looks different. You build on a canvas, where each step is a node and you draw the connections between them. It's friendly enough once you've seen it, but it expects you to be comfortable with ideas like data fields, conditions and loops. When the built-in nodes don't do what you need, you can drop in a code node and write a few lines of JavaScript. For a technical person, that's freedom. For everyone else, it's a wall.

That's the heart of the decision. Zapier trades some flexibility for ease. n8n trades some ease for flexibility.

Self-hosting: what it means for you

Self-hosting means you install n8n on a server you control instead of using someone else's cloud. That's the feature that attracts a lot of people to it, so it's worth being clear about what it involves.

What you gain

  • Control over where your data lives, which matters for some businesses and some clients.
  • Freedom to run workflows without relying on a vendor's hosted service.
  • The ability to tune the setup to your own needs.

What you take on

  • Setting up and updating the software, or paying someone to do it.
  • Backups, security and keeping the server running.
  • Troubleshooting when something breaks at an awkward hour.

If you don't have a developer or a technical friend, self-hosting can quickly turn from a saving into a time sink. The sensible alternative is n8n's own cloud, which removes the server work while keeping the same workflow editor. Check the current terms for the licence and plans, because fair-code isn't the same as fully open source and the rules matter if you plan to use it commercially.

AI workflows

Both tools can add AI to your automations, and this is where n8n has pushed hard. It offers dedicated AI agent nodes, so you can build workflows where a language model makes decisions, calls other tools and passes results along. If you like to experiment and shape those agents carefully, it gives you a lot of room.

Zapier also lets you add AI steps to an automation, such as summarising a message, drafting a reply or sorting incoming requests, and it keeps the same plain-language setup. For many small businesses, that is all they need: one clear step that tidies up a messy input before it moves on.

My honest view is to start small whichever you choose. Pick one repetitive task, such as sorting enquiries or logging leads, and automate only that. Always keep a person in the loop for anything that talks to customers, and review the AI output before you trust it.

Who should not pick n8n

It's only fair to say who n8n isn't for, and the same goes for Zapier in the next list.

Skip n8n if

  • You've never built an automation and want a result this afternoon.
  • Nobody on your team is comfortable with data fields, logic or basic troubleshooting.
  • You'd rather pay for convenience than maintain anything yourself.

Skip Zapier if

  • You need deep custom logic or lots of code in your workflows.
  • You want to host the tool yourself for data control.
  • You enjoy tinkering and want to shape every step of a workflow.

Pick Zapier if... pick n8n if...

  • Pick Zapier if you want a simple, hosted tool with a huge app directory and a short learning curve.
  • Pick n8n if you or your developer want control, code nodes and the option to self-host.
  • Pick either if your needs are modest, and build one small test automation in each before you commit, checking the current plan pages first.

If you're still comparing, my Zapier vs Make cheat sheet covers a third popular route, and this list of n8n alternatives shows what else is out there.

Other options worth a look

  • Make: a visual automation builder that's popular with non-developers who want more branching than a basic tool.
  • Pipedream: a developer-friendly option that mixes code and ready-made steps.
  • Activepieces: an open-source automation tool you can self-host.
  • Windmill: a developer-oriented platform for scripts and workflows.

Frequently asked questions

Is n8n free?

The software can be self-hosted, which many people treat as the free route, but you'd cover your own server and time. n8n also has a cloud version with paid plans. Read the current licence and plan pages before you rely on it for a business.

Is n8n harder to learn than Zapier?

Generally, yes. Zapier is designed for beginners, while n8n expects some comfort with data and logic. A technical person may find n8n more satisfying once they've learned it.

Can I move my automations from Zapier to n8n?

Not with a one-click move. You'd rebuild each workflow in n8n, which gives you a chance to simplify it. Start with your most useful automations and run both for a while.

Which is better for AI agents?

n8n has dedicated AI agent nodes for building agent-style workflows, which suits experimenters. Zapier adds AI steps in a simpler way. Choose by how much control you want.

Do I need a developer to use n8n?

Not always. Many workflows can be built without code, but self-hosting and custom logic are easier with technical help.
