Running payroll for the first time is one of those jobs that feels simple until it isn't. Miss a tax filing or pay someone late and you'll know about it fast. Gusto and ADP are two of the most common answers for US businesses, and they suit very different stages of growth.

Who each one is built for

Gusto was built for small businesses that want payroll, benefits and onboarding in one clean app. It's popular with startups, agencies, shops and anyone hiring their first few people. ADP is one of the oldest payroll companies in the US. It serves everyone from tiny businesses through its RUN product up to large employers through Workforce Now and its enterprise platforms.

Both handle the core job: paying people, withholding and filing payroll taxes, and producing year-end forms such as W-2s and 1099s. Both are US-focused. Your first hire to around ten people

Gusto usually wins here. Setup is guided, employees onboard themselves, and running payroll takes a few clicks. Contractor payments, simple benefits and state registrations sit in the same place. ADP RUN works well too, especially if you like having a named rep to call, but it can feel more like a traditional service than a self-serve app.

A growing team with HR needs

This is where it gets closer. Gusto adds time tracking, performance tools and HR support on higher tiers. ADP offers a deeper bench of HR, compliance and insurance services, and it's used to supporting businesses that are adding locations or managers. If you want one company to grow with for many years, ADP's range is the bigger draw.

Multiple states, complex benefits or a large workforce

ADP is the more natural fit. Its Workforce Now platform is built for HR teams, complex benefits administration and reporting across lots of people. Gusto handles multi-state payroll, but larger employers often want the extra configuration ADP offers.

Gusto shows its plans publicly. ADP often quotes based on your business, so ask for a written quote and a list of everything included.

What switching on payroll involves

Whichever provider you choose, the first payroll takes the most work. You'll need your federal employer identification number, state tax account numbers for every state where you have employees, bank details for the business, and each employee's tax withholding form and direct deposit details. If you've already paid people earlier in the year through another system, you'll also need year-to-date totals so the year-end forms are right.

Gusto walks you through these steps in its app and can register you with some state agencies. ADP usually assigns someone to collect the details and set things up with you. Either way, give yourself a couple of weeks before your first pay date, and run a test payroll if the provider offers one. Most problems in the first month come from a missing state account number or a typo in a bank account, and both are easy to catch early.
