Sole traders and freelancers

Ask your accountant first. Many UK accountants already use Dext and can link your account to theirs, which saves everyone time at year end.

Tips for scans that stay readable

  • Lay the receipt flat on a dark surface so the edges stand out.
  • Photograph it in good light, without your shadow across the print.
  • Capture the whole receipt, including the supplier name, date, total and tax line.
  • Scan thermal till receipts quickly, because the print fades within months.
  • For long receipts, use the app's multi-page or long-capture option rather than cutting the paper.

Check the extracted details before you save. Text recognition is good, but it still misreads faded totals and foreign currencies. A five-second glance now saves a long hunt later.

Do you still need the paper copy?

Usually not. HMRC and the IRS both accept digital copies of receipts as long as they're complete, readable and kept for the required time. In the UK, sole traders generally keep records for at least five years after the 31 January Self Assessment deadline for that tax year, and limited companies usually keep them for six years. In the US, the IRS generally asks for three years, with longer periods in some cases. Check the rules that apply to you, and keep scans backed up somewhere other than your phone.

Beyond receipts: other records worth capturing
